This Privacy Policy explains how Octoplan (“Octoplan,” “we,” “our,” or “us”) collects, uses, shares, and protects information relating to Customers and Providers (together “Users”) when they access or use our platform, including the website, mobile applications, phone services, WhatsApp integrations, and APIs (together, the “Service”).

1. Information We Collect

We may collect the following categories of information:

• Customer Data: name, phone number, email address, appointment history, communications through phone, WhatsApp, or web interface, and payment information (processed through Stripe).
• Provider Data: business name, address, contact details, descriptions of services, calendar integrations (Google Calendar, Outlook), location data (via Google Maps API), customer information uploaded with consent, and Stripe account details for payment facilitation.
• Location Data (Mobile App Users): Customers and Providers who use the mobile application may choose to share their location to enable appointment-related features (e.g., finding nearby Providers, showing travel distance, or displaying Provider addresses to Customers).
• Technical Data: IP address, browser type, device information, operating system, cookies, and log data.

2. Use of Information

We use the information collected to:

• Provide appointment scheduling, booking, and communication features.
• Facilitate payments between Customers and Providers through Stripe.
• Display Provider availability, services, and locations on our platform and via third-party APIs.
• Enhance the mobile app experience by enabling location-based features.
• Maintain the security, integrity, and performance of the Service.
• Comply with legal obligations.

3. Cookies and Tracking

By creating an account or using the Service, you consent to our use of cookies and similar tracking technologies. Cookies are used to maintain sessions, personalize the Service, and collect analytics. You may disable cookies through your browser, but this may limit functionality.

4. Sharing of Data

We share data only as necessary for the provision of the Service:

• With Stripe for secure payment processing.
• With Google and Microsoft for calendar synchronization.
• With WhatsApp for communication services.
• With Google Maps API for location services.
  We do not sell personal data to third parties.

5. Data Ownership

• Customers remain the owners of their personal data and may exercise their rights under applicable law.
• Providers remain the owners of their business data but grant Octoplan a license to use, store, and display such data for the provision of the Service.
• Providers confirm that any customer data uploaded has been lawfully obtained with the customer’s consent.

6. Security and Retention

We implement technical and organizational measures (encryption, monitoring, access controls) to safeguard information. Data is retained only as long as necessary for the purposes described or as required by law.

7. Legal Basis

We process data on the basis of consent, contractual necessity, and legitimate business interests, in compliance with applicable data protection laws, including the General Data Protection Regulation (GDPR).

8. User Rights

Users have the right to access, rectify, delete, restrict processing of, and port their data. They may also withdraw consent at any time or lodge a complaint with their local data protection authority.

9. Updates

We may amend this Privacy Policy from time to time. Updates will be posted with a revised “Last Updated” date. Continued use of the Service constitutes acceptance.
